Privacy Policy

Who we are

AI Hub Australia is owned and operated by Virtual Planet Pty Ltd (ABN 79 694 149 589). This policy explains how we handle personal information on our website and in the AI Hub Australia platform, in line with the Australian Privacy Principles.

Information we collect

• Account details: your name, email address and business name, and how you sign in (email and password, or Google or Microsoft if you choose them).
• Business profile: the answers you give during set-up and in assessments, such as your industry, team size and goals.
• Content you save: Business Vault items, notes, action plans, prompts you copy or edit, time you log and lesson progress.
• Billing details: your plan, payment status and the reference numbers Stripe gives us. We never receive or store your full card number.
• AI usage: how much of your monthly AI allowance you have used.
• How features are used: which platform features are used (for example, a prompt copied or a lesson completed) and when you last used the platform. We use this only as totals to improve the platform; we don’t record which pages you browse or what you type. It is included in your data download and deleted with your account.
• Support requests: what you send us through the Help Centre or contact form.
• Website analytics: anonymised information about how the website is used.

How we use it

To provide and improve the platform, manage your membership and payments, keep the platform secure, answer support requests, and send you emails about your membership. We only send our newsletter, product news, AI insights and events, or partner offers if you opt in, and you can opt out at any time. Newsletter sign-ups on our website are confirmed by email first, and every newsletter has a one-click unsubscribe link. We do not sell personal information.

How AI features handle your information

When you use an AI feature, the text you enter is sent to the Microsoft Azure OpenAI Service to create a response. Microsoft does not use this to train its AI models. We record how many tokens you use so we can show your monthly AI allowance.

Please don’t enter your clients’ personal information or other sensitive information into AI tools.

Where your data is stored

The AI Hub Australia platform and its database run on Microsoft Azure in Australia. Our sign-in service (Microsoft Entra External ID) is set up in Australia.

Some service providers we use may store or process information outside Australia:

• Stripe processes payments and may store billing information in the United States and other countries.
• Email delivery for account, billing and support emails.
• Google or Microsoft, if you choose to sign in with those accounts.

We take reasonable steps to make sure these providers protect your information in line with the Australian Privacy Principles.

Mentors and your team

People in your business workspace can see the shared workspace. Mentors and advisers only see the areas of your workspace that the business owner chooses to share, and access can be removed at any time.

Access, correction, download and deletion

You can update your details in Settings, download all the data we hold about you in Settings → Privacy & data, and delete your account there too. You can also ask us to access, correct or delete your information through our contact page. Some records, such as tax invoices, are kept for as long as the law requires.

Security

Information is encrypted in transit and at rest, and access is limited to the people who need it to run the platform.
